FAQ

Every question, in one place

Pricing, privacy, what your resellers can see, recovering something you deleted, and the accounting decisions the app makes on your behalf.

Before you buy

Do my resellers pay?

No. PepStock Pro covers the owner side. Anyone you invite as a reseller uses the app free, for as long as they are on your team.

Can my resellers see what I paid?

No. A reseller sees the stock they are holding, what they owe you, their own clients and their own selling prices. Your costs, your margins, your suppliers and every other reseller's numbers are not on their device at all — they are not hidden in the interface, they are never sent.

Where is my data stored?

Your business records live in your own private iCloud and sync across your devices automatically. There is no PepStock account and no PepStock server holding your books. Team sync is the one exception: what you share with a reseller passes through Google Firebase so it can reach their phone, including an Android one.

Does it work on Android?

Yes. Owners and resellers can be on either platform and see the same numbers. Note that iCloud sync between your own devices is an Apple feature — on Android, back up with the one-file export.

What happens if I delete something by mistake?

Deleting tells you first what goes with it — the stock, the purchases, what a reseller is holding, which sales lose their product and whether your profit changes. Anything deleted then sits in Recently Deleted for 30 days and comes back in one tap, with everything that was attached to it. No backup file needed.

Can I move in from a spreadsheet?

Import a whole Excel workbook in one step. Inventory creates the products, pricing fills their tiers, purchase lots become batches with vendors and landed cost, reseller quantities become allocations, and sales and expenses arrive as history. You see exactly what each sheet will do before anything saves, and importing the same file twice is refused.

Is there a free trial?

Yes — 7 days. After that PepStock Pro is $4.99 a month or $29.99 a year.

Running the business

Do my reps need to buy anything or make an account?

No. Reps download PepStock free and open your invite link. Sync runs through iCloud — there are no accounts or subscriptions.

Can a rep see my costs or my other reps?

No. Rep Mode shows only that rep's stock, sales, balance, clients, and product documents. Costs, suppliers, margins, house inventory, and other team members are never sent to their device.

What price does a rep owe me?

The Wholesale tier price at the time of the sale — regardless of what they charged their customer. Their markup is their profit and stays their business.

What happens when I approve a rep's sale?

The sale books into your ledger at the wholesale rate as unpaid, the rep's holdings drop, and their balance owed rises. When they pay you, use Settle Up.

A sale was logged by mistake — how do I undo it?

Swipe the sale in the Sales tab and delete it. House-sale stock is returned automatically; rep holdings recalculate on their own.

How is profit calculated?

Sale price minus landed cost (unit cost plus the batch's shipping/overhead share) for every unit sold, minus any failed-testing write-offs in the period.

Why does a product show fewer units than I bought?

Open the product and read the stock bar — every unit you bought is in one of its segments: at the house, with a reseller, sold, used for testing, or adjusted. Tap the purchase to see adjustments broken down by reason, and what each one was treated as: a loss, stock you took yourself, or stock sent back to a supplier.

Do recurring order reminders fire if the app is closed?

Yes — reminders are scheduled with iOS in advance and arrive at 9 AM on the due date. Fulfilling or editing the order reschedules them automatically.

Is my data private?

Yes. Everything lives on your device and in your private iCloud database. There's no company server, no analytics on your business data, and no one else can access it.

What if a rep loses their phone or leaves the team?

Open their page on the Team tab and revoke the invite — their device loses access immediately. Their history and balance stay in your records.

Can I export my numbers?

Yes — the export icon on the Dashboard opens Reports: a financial PDF with charts, CSV spreadsheets, sales summaries, and per-rep statements you can share or print.

How do I record sending stock back to a supplier?

Two halves, and both matter. Adjust the purchase's stock count with the reason Returned to Vendor — that takes it off your shelf without recording a loss. Then put what they refunded in Money the vendor gave back on that same purchase, which lowers what the order cost you. Doing only the adjustment with any other reason would charge you for stock you were paid back for.

A vendor refunded me but I kept the product — what do I do?

Just record the refund on the purchase. Don't adjust the stock, because none of it left. Your cost basis drops, the units you kept become cheaper, your margin improves, and nothing is a loss.

I sell in bottles/units, not vials — does the app still fit?

Yes. Units are units: any countable product with a cost and price works. Photos, tiers, batches, and consignment all behave the same.

For resellers

Does the house see my customers or my prices?

No. Your clients, your selling prices, and your profit stay on your device. The house sees the sale and collects its reseller rate — nothing about who bought it or what you charged.

Do I pay for stock when I receive it?

No. Stock is on consignment — you owe the reseller rate per unit only once it sells. Anything you don't sell can go back.

Why is my sale 'awaiting review'?

Sales you log are submitted to the house to confirm. Once they approve it, your stock and balance update. If something looks wrong, they can decline it and talk to you.

I paid the house — why does my balance still show?

A deposit applies once the house confirms it. After that it shows as credit against your unpaid sales. If it's been a while, check with them that it was recorded.

Do I need to pay for the app?

No. Reseller access is free — you were invited by the house and their subscription covers the team.

What if I get a new phone?

Install PepStock and open your invite link again — your stock and balance come straight back from the house. Ask them to re-send the link if you no longer have it.
